Diary integration with Outlook

The Actis integration with Microsoft Outlook now allows two-way communication between the two applications.

If you use the Login with Microsoft button to access Actis, then the connection is already made.

If you are not already connected to your Microsoft account, then click the icon in the Actis header bar to connect.

Once the connection with Microsoft is made, the initial sync will create an Outlook calendar called “Actis {Employee Code}” in your Microsoft Outlook account where all Actis items will be held. Your employee code is the same one you see at the beginning of your Meeting reference numbers.

Tick the calendar checkbox in Outlook to view the calendar

Click the left arrow button on the Actis calendar header to overlay the two calendars in Outlook.

Actis and Outlook calendars will synchronise automatically each time Actis is accessed. The default period for the sync will be the past 14 days plus all future items. The default period can be changed to suit your organisation’s requirements.

Important: If you move an Actis call, meeting or task in your Outlook calendar, then Actis will only update to match when you open the item in Actis. Items will need to be saved after any automatic updates are applied.

Calls and meetings created on your behalf in Actis will synchronise to your Outlook calendar when you login to Actis.

Personal items added to Outlook will be visible in your Actis diary as view only items when you are logged in.

Personal items from Outlook visible in Actis are not stored and, as such, cannot be moved or edited in Actis.

Managers using the Actis “View As” functionality to view a user’s Actis diary will not be able to see personal items from the user’s Outlook calendar.

Administrators using the Actis “Login As” functionality to view a user’s Actis diary will not be able to see personal items from the user’s Outlook calendar.

Sharing your Outlook calendar

If necessary you can share your Actis diary from Outlook with other people.

  1. Left click on your Actis calendar
  2. On the pop-up menu, select Sharing Permissions
  3. On the Permissions tab of the Properties box, click the Add button
  4. Select the name of the person you want to share with from the list that appears
  5. Choose the level of detail you wish to share
  6. Click the Apply button to confirm your changes.
