Customer Consent/ePermissions

The General Data Protection Regulations (GDPR) 2018 enforce the need to manage and protect all personal data you hold about your customers.

How we deal with your data as a data processor is outlined in our contract and privacy policy, but how you manage and maintain your customer data is subject to your own organisation’s policies.

The Channel Preferences page within the customer record helps you manage the consent permissions given by your customer. This page is completely configurable to your organisation’s requirements and they will have specified:

  • Marketing options – this could be as simple as as opt in/opt out choice or could be a list of items
  • Contact options – how would the customer like to receive information from your company
  • Communication methods – the customers preferred language, email address, phone number, etc.
  • Consent evidence – how the consent was obtained and the date consent was given

Depending on your system configuration:

  • You may be able to edit the page yourself and upload a scan copy of a paper document giving consent
  • You may be able to add a customer email address and send a pre-configured, compliant email requesting that customers consent themselves
  • You may be able to allow the customer to complete their own consent and confirm in Actis with their eSignature
  • You may not be able to edit the page at all, as consent will be gathered from another source, i.e. your company website, and transferred directly to Actis

All changes to Channel Preferences are tracked and recorded in an audit log.

Important: The Modified data in the Consent Evidence section will only be updated only when the evidence data is modified, not the access permissions.

  2. Under the Navigation tab click Channel Preferences
