Off-territory meetings

Off-territory meetings occur when the meeting takes place outside of your working area, commonly because you are covering for a colleague or filling in on an unworked territory. In this case the meeting location will not instantly appear in your list and, if you normally use territory budgets, they will not work.

Important: Off-territory meetings should not be linked to a location unless you are using a regional or national budget (see National Meetings).

From the menu select Meetings, Add Meeting

From the diary, use the navigation buttons to find the meeting date and click in the diary to select the meeting timeslot. Under the Actions tab, click the Arrow button to open the New Activity actions and click Add Meeting

A blank meeting record will open

  1. In the Where is the meeting going to be? section, ignore the Location Name field
  2. Click in the Venue Name field and type the name of the meeting location
  3. Click in the Geography Unit field and from the drop-down list, select the geography closest to the meeting venue.

Important: The Geography field is mandatory, so you will not be able to save the meeting record without completing it. The listed areas cannot match the location as they are all within your territory. Adding a local geography is what enables you to use your territory budget for an off-territory meeting.

Complete all other mandatory fields and click the Save button before adding any other information required prior to submitting the meeting.
