You must record meeting expenditure accurately so you will not be prevented from adding costs and payments to your meeting and it is acceptable for the actual expenditure to exceed the estimated expenditure. If meetings go over budget the actual cost will be shown in red on the budget line of the meeting costs page.
Important: Do not edit the estimated expenditure to match the actual expenditure as the meeting will be re-submitted for authorisation and will need to go through the approval process again.
Your system set-up may require you to justify the additional expenditure and in this case a new field will appear in the Budgets section.
- Click in the Reason for Additional Expenditure field and type your response.
- Click the Save button
Over budget meetings are shown in red on the Meetings – Extended list.
