Merge target values

As your targeting strategy changes you may wish to reduce the number of target values, without reducing the number of flagged customer, location or account targets.

In this case you can merge target values together, effectively moving the flagged targets from one value to another.

Click to select the target or value indicator that you wish to merge – this is the value from which data will be cleared.

The target or value indicator will switch from blue to yellow and the relevant actions will become available.

On the Actions tab, click Merge Value Data.

From the drop-down list select the value you wish to merge the data into – this is the value that will receive the data.

Click the OK button to confirm the change.

The value data (number of flagged customers, locations or accounts) will be moved. The number on the first selected value will change to zero, and the number on the second selected value will increase by the data moved.

The flagged customer, location or account records will update accordingly.

Important: Merging value data will not remove or delete any target values.

Lock and unlock a target

Once targets have been flagged by the users, you may wish to lock the target to prevent further changes.

Once locked the number of target customers, locations or accounts in the system cannot change as the target values appear greyed-out to the users.

The feature is useful when you need to measure contacts against target customers or locations over time, e.g. a KPI period.

In the target administration screen, click the small padlock indicator next to the target you wish to lock.

The image will change to a locked padlock.

Click the padlock indicator again to unlock the target.

Clear a target or value

It may be necessary to reselect target customers, locations or accounts periodically, e.g. to meet KPI requirements. Where the target name and values remain the same, it’s possible just to clear the target flag from the records so that you begin again with a blank list.

The target and value actions are very similar, and both can be cleared in the same way.

Click to select the target or value indicator that you wish to edit.

On the Actions tab, click Clear Target or Clear Value.

At the warning message click OK to confirm.

The target flag will be removed from all the records it applies to.

Important: The Clear Target action will remove the numbers from all the values

Clone a target

You may wish to create a duplicate target and have all the records from the original target transfer to the new one.

This is useful where you want to maintain a record of targets each year or each KPI period and want your employees to edit the target lists for the period rather than start from new.

Click to select the target or value indicator that you wish to clone.

The target indicator will switch from blue to yellow and the target actions will become available. On the Actions tab, click Clone Target. In the Clone Target box, click in the Name field and type a name for the new target.

Click OK to confirm.

The new target will be created, together with its values and the target flags will be set on the same customer, location or account records as the original target.

The new target will be available for reporting and Data Explorer searches immediately.

Rename a target or value

Both targets and values are renamed in the same way

On the Actions tab, click in the Rename field and type a new name

The target of value indicator name will change and be immediately visible to all users

Important: The target filters in reports and in Data Explorer will also change to match the new name. The previous target and value names will no longer be available for reporting or searching.

Create a new target or value

Assign a target to a team

Where your organisation has multiple sales teams, you may wish to create targets for each team in a way that the targets are not visible to each other.

In order to see which teams can view which targets, open the Parameters section on the Action tab.

Click the Show Teams button and the numbers inside the value indicators will change to display the viewing teams’ names.

Where no team has viewing rights, the value indicators will disappear.

Click to select the target that you wish to add a team to.

The target indicator will switch from blue to yellow and the target actions will become available.

On the Actions tab, click Add Team and select the team from the options on the drop-down list.

Click the OK button to confirm your choice and the team indicator will appear next to the target.

The target and its values will be visible to the assigned team members only.

Remove the viewing team

Open the Parameters section on the Action tab.

Click the Show Teams button and the numbers inside the value indicators will change to display the viewing teams’ names.

Click the team name indicator you wish to remove and in the Viewing Teams section on the Actions tab click Remove Team

The team will be removed from the target and the team will not be able to see it on their records.

Delete a target or value

If a target or value is no longer required, then it can be deleted.

Deleting a target or value will remove the flag from all customer, location or account records it applies to, and it can no longer be used as filter in reporting or Data Explorer.

Click to select the target or value indicator that you wish to delete.

The target or value indicator will switch from blue to yellow and the relevant actions will become available.

On the Actions tab, click Delete Target or Delete Value.

At the warning message click OK to confirm.

The target flag will be removed from all the records it applies to.

Important: Deleting a target will automatically delete its values. Deleting a value will remove the value only and retain the target

If you want to retain the target and values but remove the flag from the records they apply to, then clear it rather than delete it.

Create a new target and values

Create a target which will allow employees to group customers, locations or accounts that share similar needs that your company hopes to serve, i.e. customers most likely to prescribe your product, accounts where you wish to win formulary status, etc.

The overall target has a name, and the values are how you segment that target. It might be as simple as a Yes value, or more complex with several choices, e.g. gold, silver, bronze values, etc.

Targets and their values can be used in Data Explorer searches to generate lists for call planning, and in reporting for analysing contacts against targets.

From the Administration menu select Target Administration.

Click to select an entity (Customer, Location, Account) to view either existing targets and values, or to create new ones.

Click the down arrow button to open the actions associated with Targets.

Click Add Target on the Actions tab and create a name for the new target.

The target will appear as a blue disk with a 0 inside. This number will increase as records are flagged as targets.

Add values

Once the target has been saved, further actions become available and values for the target can be set up.

The values appear as radio buttons on the entity record that can be checked to indicate that the customer, location or account is part of the target group.

Click to select the target and the colour will change from blue to yellow.

Click Add Value on the Actions tab and type a name for the value in the Add new target Value box.

Click the OK button and it will appear as a value associated with the target. The Target Value will now appear as an option on the entity record.

Change the password rules

Different companies enforce different security standards for passwords. The system default settings are for very weak password that must be changed every 90 days, but these can be amended to more closely mirror company preferences using the settings available.

  1. From the menu select Administration, System Access
  2. Choose the acceptable strength from the drop-down options

  3. Tick the relevant switches to apply password rules
  4. If required, type the number of days between forced resets and click the Save button that appears to confirm

Each time the users create new passwords the rules will be applied. The rules are stated on the reset password page, and as the passwords are created the password strength is indicated.

Administrator mode

Enable Administrator Mode to restrict access to actisCRM, perhaps whilst employee or territory changes are taking place.

Administrator Mode prevents any further employees from logging in but will not log out current users who will be able to complete their session.

You can customise the message that employees see when they try to login by creating a Notification and Login Message.

  1. From the menu select Administration, System Access
  2. The Logged in Employees list will show you who is currently using the system
  3. Tick the Administrator Mode Enabled switch
